Reporting of academically relevant periods spent abroad by doctoral candidates pursuant to § 4 HStatG
Pursuant to § 4 of the Higher Education Statistics Act (HStatG) of 1 March 2016, German universities are required to report information on doctorate-related periods spent abroad to the responsible State Statistical Offices as part of the official examination statistics. At the University of Hamburg, academically relevant periods spent abroad for the doctorate must be reported in addition to registering for the doctorate or the disputation. Please report up to three academically relevant periods spent abroad for your doctorate via the web form in STiNE.
To do so, log in to STiNE with your user ID. Under Studies > Study Administration > Applications > VII Reporting an academically relevant period spent abroad for doctoral students > Start, you can enter up to three periods spent abroad. If you have more than three periods, please only enter the three longest periods.
Publication of the Dissertation
Publication of the Dissertation
Publishing the dissertation is an integral part of the doctoral procedure. There are various ways to publish:
- Publication through a publishing house
- Electronic publication via the Hamburg State and University Library
- Publication through journal articles (for cumulative dissertations)
- Self-publication
Information on Printing Approval
Under PromO 2010 and PromO 2017, printing approval for the dissertation is deemed granted following a successful disputation. For doctoral procedures under PromO 1998, 2000, and the former HWP regulations of 1989, printing approval must be granted in writing by the first supervisor.
Information on Publication Deadlines
The deadlines for publishing dissertations are as follows:
| PromO 2017 | 24 months |
| PromO 2010 | 12 months |
| PromO 2000 | 24 months |
| PromO 1998 | 12 months |
| HWP-PromO | 12 months |
If publication cannot take place within the specified deadline, the chair of the respective doctoral sub-committee may extend the deadline upon a substantiated request.
1. Publication through a Publishing House
The minimum print run for this type of publication is 50 copies in total. Of these, the Hamburg State and University Library receives five copies and the Graduate School receives one copy.
2. Electronic Publication via the Hamburg State and University Library
The dissertation can also be published electronically via the Hamburg State and University Library. To do so, please contact the University Publications Office of the State Library (see contact details box for the State Library) to receive access credentials for the dissertation server. If you have a valid library card, you can log in using your card number and password. Next, upload your work and complete the publication agreement.
Further information on electronic publication via the Hamburg State and University Library can be found at: https://www.sub.uni-hamburg.de/service/publizieren/dissertationen/e-dissertationen-der-uhh.html
In addition to the upload, two printed copies must be submitted to the State and University Library and one copy to the Graduate School.
3. Publication through Journal Articles of a Cumulative Dissertation
- Since the content of a cumulative doctoral thesis is made available to the public through the journal articles, an additional publication is not required if all articles have already been published. In this case, the State and University Library receives four printed copies of the complete cumulative dissertation, and the Graduate School receives one copy.
- If one or more articles have not yet been published but are still intended for publication in a journal, an electronic publication arrangement can be made with the State Library. As long as the article has not yet been published in the journal, the electronic version will, in this case, be held back in a non-accessible temporary area of the State Library. The electronic version will not be forwarded to the German National Library, nor will it be listed in the union catalog. The corresponding two printed copies will, unless otherwise agreed, be catalogued and made available for use at the State Library. The dissertation is then considered published, even though it is initially only catalogued at the State Library.
4. Self-Publication
The minimum print run for self-publication is 51 copies in total. 50 copies must be submitted to the Hamburg State and University Library and one copy to the Graduate School.
Information on Printed Copies
Regardless of the type of publication, printed copies of the dissertation must always be submitted to the Hamburg State and University Library and to the Graduate School.
The printed copies must include the dissertation title page (see sample templates on the Graduate School's homepage); for cumulative dissertations, all articles of the cumulative dissertation as well as the connecting chapter required by the doctoral regulations must also be included. The copies must be submitted in standard bound form.
In the copies submitted, the journal and date of publication must be indicated for each respective article.
All printed copies/issues must be submitted on age-resistant, acid-free paper and in a standard binding, e.g., adhesive binding or thread binding. Ring bindings or spiral bindings will not be accepted!
University Publications Office of the State and University Library
The copies intended for the State Library (this applies to all four publication options) must be delivered to the University Publications Office of the State Library. You will receive a confirmation of the deposit of the mandatory copies there.
