Set up an Office Reference Collection
Terms of use
Professors and junior professors of the Faculty of Business, Economics and Social Sciences and the Faculty of Business Administration may set up a reference collection for their office.
The following terms of use apply.
Who may use office reference collections?

Professors and junior professors of the Faculty of Business, Economics and Social Sciences and the Faculty of Business Administration only are entitled to set up office reference collections.
Professors are responsible for all items in their Office Reference Collections (see inventory). - Every professor may have one office reference collection.
- Professors and any individuals they designate are the contact persons for the collection.
- If items from the office reference collections are passed on to research associates or other individuals, the professors assume responsibility for these.
- The entitlement to set up an office reference collection is based on current membership in the Faculty of Business, Economics and Social Sciences or the Faculty of Business Administration.
- Retired professors are not eligible to set up an Office Reference Collection.
How long may items remain in the office reference collection?
- The professors decide how long items will remain in the office reference collections.
- However, all items must be returned to the library no later than upon leaving the Faculty of Business, Economics and Social Sciences or the Faculty of Business Administration.
- Taking inventory: Every five years, professors must present all items of their office reference collection to the library in charge for audit purposes. The five-year deadline is determined by the set-up-date of the office reference collection.
What is the maximum number of items that may be included in an office reference collection?
- A maximum of 50 items may be included in an office reference collection.
What items may be included in an office reference collection?
- Professors may only include items in their office reference collection that they order specifically for this purpose using finances from their faculty allotment or external funding.
- Items from the library holdings cannot be moved to an office reference collection.
- Professors may wish to remove items from the office reference collections by returning them to the library. The item will transfer to the regular library collection and will be exempt from recall to an office reference collection.
How can professors set up an office reference collection?
- Professors need to complete the office reference collection application form (see below). As soon as you have filled out the form you can start requesting media.
How do professors order items for the office reference collection?
- Items must be requested using the order form for the office reference collection.
- Items will be ordered and processed by the library in charge. The invoice will be forwarded to the professor or the designated in charge to authorize payment (Kassenanordnung).
Legal conditions
- Legally, the office reference collection and their items constitute special locations of the Library of Business and Economics or the Library of Social Sciences put into the care of the professors.
- Professors must agree to the "Terms of Use for Office Reference Collection" before a reference collection may be set up.
- Since items in the office reference collection are not considered to be borrowed items, the fees and fines listed in the current version of the Gebührenordnung für wissenschaftliche Bibliotheken der UHH (academic library fees at Universität Hamburg, in German only) do not apply.
- Based on the above fee schedule, if an item from the office reference collection is lost, the item must be replaced and an administration fee (currently 30 euros) will be charged for the replacement and processing of the item.
