Managing your publications in the Research Information System (RIS)
The library provides valuable support to researchers by helping them to manage their publications in the Research Information System (RIS) of Universität Hamburg. We offer assistance and act as a final editor in the RIS to ensure data quality and consistency.
How does the library assist you with your RIS activities?
Handout
The handout Handreichung für die Erfassung von Publikationsdaten im FIS: Version 2.2 vom 17.05.2024 (PDF)(German only) provides information on the following topics:
- What are the best settings and short-cuts for optimal use? (i.e. configuring and linking your ORCiD profile; creating accounts for team assistants to manage researchers’ publications)
- What are the most frequently used publication types in your subject area? Which elements need to be included and filled out for each publication type? Are there specific rules for a particular publication type?
- How do the data get into the system? Can you import data from your literature management software or from your ORCiD profile? Are there any templates if you have to enter the data manually?
- Once the data are in FIS, how can you reuse the data for your purposes?

In addition, the Center for Sustainable Data Management offers a manual about using RIS in English. It gives a general overview and is available on the RIS platform (Help and support: Manual UHH).
Workshops
Our training courses target both you as a researcher and your team assistants and secretaries.
Following the outline of the handout, we explain how to manage publication data in RIS in the most effective way. You are invited to attend our workshops:
- Basic training is offered at the beginning of each semester as well as upon request for 5 or more persons. The workshop schedule will be announced on this webpage, in the newsletter of the WISO faculty and via E-Mail.
- Group Consultation hours for groups of 5 or more persons are available upon request only.
Workshops and consultation hours last up to 90 minutes and take place online via Zoom.

Our open consultation hours take place on a regular basis. You will get personalized support for your current individual publication management questions and issues.

RIS as a tool for creating publication lists for LOMI procedures (Performance-oriented funds of the faculty)
In partnership with the faculty's research team and the team of the Center for Sustainable Data Management, a data format is currently being developed for LOMI procedures 2025. The use of RIS in the application remains voluntary. Further information will be provided as part of the application period.
Collecting publication data from previous years
To ensure the visibility of publication outputs of the faculty from previous years, the library will systematically fill any remaining coverage gaps in RIS. The primary goal is to establish a full coverage starting from 2015 onwards.
Final editing and validation
The library is entrusted with reviewing all the faculty members' publication entries. This final editing (RIS work step validation) is intended to ensure a high level of data quality and consistency.

What does RIS offer?
The RIS at UHH aims to centralize and update the research accomplishments of the university’s faculty, including your publications. Through the RIS, you can enhance the visibility of your research achievements to the academic and scientific communities:
- All publications are showcased in the Research Information Portal to reach a wider audience, including your Open Access publications.
- You can utilize the RIS as a personal database to manage your own publication lists. By integrating your publication data from RIS into your Fiona website as a FIS-Box (German only) or as an expandable FIS-Box aufklappbar (German only).
- The publication data can also be easily generated and exported in various formats to meet the reporting requirements of the university or of your research funding organizations.
